AI Agents vs Chatbots: What's the Difference and Which Do You Need?

Chatbots answer questions. Agents take action. Here's a practical way to decide which one your business actually needs.

The terms get used interchangeably, but they describe different things, and choosing the wrong one is an expensive mistake.

The short version

  • A chatbot has a conversation. It answers questions, ideally using your own content.
  • An AI agent completes a task. It can read, decide and act inside your tools: update a CRM, book a meeting, issue a refund.

When a chatbot is enough

If most of the value comes from answering questions quickly and accurately, a well built chatbot is the right choice. Typical examples:

  1. Website FAQs and presales questions
  2. Internal HR or IT policy questions
  3. Product documentation search

When you need an agent

You need an agent when the answer requires doing something in another system:

  • "Can you move my appointment to Thursday?"
  • "Qualify this lead and create a deal if they're a fit."
  • "Find last month's unpaid invoices and send reminders."

A simple test

Ask: after the conversation, does someone on my team still have to go and do something? If yes, an agent can probably do that step for you.

Guardrails matter more for agents

Because agents take actions, they need scoped permissions, validation and, for sensitive steps, human approval. That's not a reason to avoid them; it's a reason to build them properly.
