How to Keep Your Data Safe When Using AI Automation
A plain English checklist for business owners who want the benefits of AI without creating new security risks.

AI automation doesn't have to mean handing your data to the internet. These are the questions we ask on every project.
Does the AI provider train on your data?
Use business or enterprise API endpoints with clear terms that inputs are not used for training.
What can the automation access?
Apply least privilege. An agent that books meetings doesn't need access to payroll.
Where are credentials stored?
In a secret manager or encrypted environment variables. Never in code or spreadsheets.
Is everything logged?
You should be able to see what the system did, when and why.
Who approves sensitive actions?
Payments, deletions and external communications to key clients should have a human approval step.
How long is data kept?
Set retention periods for transcripts and logs, and make sure they match your privacy policy.
